Proposal Coordinator

Sacramento, CA

Capio Group is looking for a Proposal Coordinator with expertise in the areas of IT solution proposal response, technical writing, editing, content strategy and content strategy. 


Full-time employee - Remote (must be in Pacific Time Zone, Sacramento area preferred)

Scope of Work:

The Proposal Coordinator will be responsible for coordinating and writing strategic, persuasive, and high-quality content for proposals and other media types, including brochures, social media, websites, and more on an as-needed basis. This position will lead all phases of the Proposal Development process including facilitating team review of new opportunities, managing and tracking opportunities (and associated proposal response), content development, assignment of content development, organization of proposal materials, editing, formatting, final production & post-production activities, and maintaining proposal repositories. The individual will also be required to support other tasks as needed such as the editing/production of presentations and deliverables to clients, maintaining and editing templates, and managing processes/systems associated with the proposal development function.

Responsibilities including but not limited to: 

  • Collaborate with Subject Matter Experts and translate highly technical information to the author: technical content for proposals, capability statements, company website content, social media, and content for other marketing channels..
  • Manage the end-to-end proposal process including: opportunity review (go/no-go), proposal planning, content design, development, review, and final publication.
  • Review and analyze solicitations (RFPs, RFOs, SOWs) and related documents to draft and develop compliant proposal outlines and responses.
  • Lead proposal management activities, including development of work plans, proposal schedules, and action items, to maintain compliance with solicitation requirements  while ensuring all deadlines are met.
  • Prepare all proposal development supporting documentation (go/no go meeting notes, job descriptions, qualification matrices, proposal development schedule and production checklist, and proposal outline).
  • Combine content from various sources into a comprehensive package.
  • Confirm final content is compliant with solicitation and client requests.
  • Other tasks as assigned.

Mandatory Experience:

  1. 3+ years of experience working as a Proposal Coordinator/Writer or similar role.
  2. 1+ years of experience leading/managing proposal lifecycle.
  3. 2+ years of experience writing persuasive content for proposals and marketing/project needs.
  4. At least 1 year of government proposal development experience.
  5. At least 1 year of information technology (IT) proposal development experience.
  6. Ability to translate highly technical information into pieces that are easily understood by a variety of audience backgrounds.
  7. Strong verbal and written communication skills including grammar, spelling & editing skills along with an extremely high attention to detail and accuracy.
  8. Advanced knowledge of Microsoft Word and Excel; Adobe PDF, and Google Suite (Docs, Sheets, Slides, Calendar, and Gmail).
  9. Advanced knowledge of Canva.
  10. Advanced abilities in formatting, creating, and editing templates.
  11. Flexible and open to changing schedules and priorities and managing multiple tasks simultaneously within rigid timeframes.
  12. Willingness to work outside of regular business hours if required based on client needs.
  13. Bachelor’s degree, preferably in Business, Communications, English or a related field
    required.

Desirable Experience:

  1. A proven track record of establishing technical writing processes, procedures, and culture from scratch.
  2. Experience writing technical documentation for the information technology industry.
  3. Experience managing and/or authoring social media content.
  4. Experience authoring website content from interview notes / project details.
  5. Experience with WordPress (authoring content, managing website, etc.).

Business Development Specialist

Sacramento, CA

Capio Group is looking for a Business Development Specialist to expand our business through customer relationship development and securing sales/project opportunities.

This job would only go forward if that candidate secures/provides a qualified lead that results in a viable sales opportunity for Capio Group.

Part-time employee - Sacramento (some remote work allowable)

Scope of Work:

The Business Development Specialist will build and manage long-lasting, trusting relationships with Capio Group leads (prospective clients and business partners), develop new business from leads, actively seek new sales opportunities to support customer initiatives, collaborate with Capio Group proposal development and technical teams, and generate more revenue for the Capio Group. The Business Development Specialist will be responsible for establishing networks with industry specialists, maintaining valued customer and lead relationships, and helping secure great contracts.

Responsibilities including but not limited to: 

  • Manage the sales of information technology-based services that include Project Management, Custom Application Development, System Configuration & Integration, Data Management, and Cloud Infrastructure.
  • Identifying new Leads by leveraging current network and researching/finding opportunities to expand network.
  • Develop customer and business partner leads. Nurture relationships with a goal of generating/sourcing viable business opportunities.
  • Assessing and advising on potential joint ventures or partnerships with other companies.
  • Helping close contracts that promote sustained revenue.
  • Liaising with Sales, Marketing, and Management to align strategies aimed at increasing revenue.
  • Evaluating and improving sales, marketing, and branding strategies.
  • Maintaining knowledge of industry trends and building industry partnerships.

Mandatory Experience: 

  1. Must have at least two (2) years of CA government sales experience.
  2. Must have at least two (2) years of experience participating in the CA government proposal development process.
  3. Must have at least two (2) years of experience participating in lead and business development process.
  4. Must have at least two (2) years experience with performing research on prospective clients, business partners, or equivalent.
  5. Proficiency in CRM, knowledgeable in productivity suite - Google preferred, MS office is also acceptable.
  6. Comfortable representing the company at trade organizations, committees and client/vendor meetings.

Desirable Experience: 

  1. Ten (10) years working in Government Information Technology with the State of California.
  2. Two (2) years working as a Account Manager or Technical Manager serving State of California government organizations.
  3. Two (2) years of responsible project management experience managing large-scale information technology (IT) projects.

    Account Manager

    Sacramento, CA

    Capio Group is looking for a Account Manager to help build and lead IT service delivery teams. 

    This job would only go forward if that candidate secures/provides a qualified lead that results in a contract.

    Scope of Work:

    The Account Manager will build and manage long-lasting, trusting relationships with current and prospective Capio Group clients, oversee a portfolio of customers and projects, develop new business from existing clients, and actively seek new sales opportunities to support customer initiatives and generate more revenue for the Capio Group. The Account Manager responsible for handling and managing multiple client accounts, for leading a team of Capio Group Consultants dedicated to meeting the operational needs of assigned projects, and making sure you understand the client’s needs and recommending solutions accordingly.

    Responsibilities including but not limited to: 

    • Manage the delivery of information technology-based projects that include Project Management, Custom Application Development, System Configuration & Integration, Data Management, and Cloud Infrastructure.
    • Develop customer and partner leads. Nurture relationships with a goal of generating/sourcing viable business opportunities.
    • Lead proposal development teams and activities.
    • Facilitate project planning, analysis, onboarding, and obtain consensus from Executive Staff and Program Managers regarding project priorities, scope, schedule, and budget. 
    • Produce project plans and deliverables, review team documentation, and manage time, quality, and cost metrics and provide detailed implementation reporting.
    • Supervise and provide mentorship to project delivery staff.

    Mandatory Experience (within the past 10 years): 

    1. Proven work experience as an Account Manager juggling multiple accounts and/or projects at a time.
    2. Must have at least two (2) years of responsible project management experience managing large-scale information technology (IT) projects.
    3. Must have at least two (2) years of CA government sales experience.
    4. Must have at least two (2) years of experience managing large-scale projects using an agile/iterative system development approach.
    5. Must have at least four (4) years of experience supervising and mentoring teams while handling client accounts.
    6. Must have at least four (4) years of experience ensuring timely and successful delivery of multiple client projects/accounts.
    7. Must have at least two (2) years of experience participating in the government proposal development process.
    8. Must have at least two (2) years of experience participating in lead and business development process.
    9. Proficiency in CRM, knowledgeable in productivity suite - Google preferred, MS office is also acceptable.

    Desirable Experience (within the past 10 years): 

    1. Two (2) years working as a IT consultant preferably in a project management position.
    2. Proficiency and knowledge of Microsoft Project or Primavera P6 scheduling and the ability to create and maintain a cost and resource loaded schedule.
    3. Must possess a current and valid Project Management Professional (PMP) certification issued by the Project Management Institute.
    4. Two (2) years working as a Account Manager serving State of California government organizations.
